Site Inspection with SWOT analysis
• Assistance if needed with selection of a venue
• Site inspection of the facility
• SWOT analysis (an analysis done on the site’s STRENGTHS, WEAKNESSES, the OPPORTUNIES presented by the site, and the THREATS imposed by the site)
Event Timeline
• Schedules monthly meetings
• Schedules risk management meetings and walk-through’s at the site
• Schedules obtaining needed permits
• Schedules when to start and finalize contracts with subcontractors such as floral designers, audio/visual companies, and caterers
• Schedules when to set up marketing plans
• Schedules when to set-up budgets
• Schedules when to do site inspections

Meetings/Evaluations
• Needs assessment meeting to determine your event’s goals, objectives, and strategies.
• Monthly meetings for updates, development of strategies, discussion on such event elements as bands, audio/visual equipment, floral arrangements
• Meetings with vendors, exhibitors, subcontractors, fire marshals, security companies, and emergency medical teams
• A mid-point evaluation to determine how many of the event elements have been completed to give you an idea of how much work has to be done in the remaining time allotted before the event
• A final evaluation of the event to assess the success of the event and if your goals and objectives were achieved
On-Site Coordination of Event
• Obtain contract quotes and review contracts for audio visual services, lighting, catering, entertainment, invitations/printed materials, décor/floral design, transportation, security, and emergency medical teams
• Production schedules for the days of the events for client, IBP, and security. These schedule will include items such as:
o Schedule room set-up and take-down
o Schedule arrival of floral designs
o Schedule arrival of performers
o Schedule arrival of attendees
• Evaluate insurance needs and obtain appropriate policies
• Help develop themes
• Help develop function-space diagrams
• Conduct walk-through with public officials responsible for fire, safety, and emergency procedures
• Conduct risk assessment meeting at site
• Collect general liability insurance policies
• Coordinate, conduct instructional briefings, and supervise all people involved in working or performing at your event
• Oversee trash and recycling
• Arrange for return shipment of materials.
